A cleaning business runs on two things: trust and repeat customers. Your estimate is the first trust test. The person reading it is about to hand you the keys to their home or office, so a professional format matters as much as the price.

Price one-time cleaning (deep clean, post construction, move in or move out) differently from recurring cleaning (weekly, every other week, monthly). Recurring work is the heart of the business: a clear price, an exact scope, and what costs extra.

When the customer can see exactly which rooms, which tasks and which extras are included, there is less room for "I thought you would also do the windows."

Then send the recurring plan as its own estimate, for example "Biweekly standard clean, 3 bed, 2 bath, per visit," listing exactly what each visit covers.

Walk through the space before you price it, or ask for a few photos of the kitchen and bathrooms. Pet hair, clutter and buildup change the time a job takes more than square footage does.

How to write a cleaning estimate from your phone

Right after the walkthrough, no computer and no typing:

Should I charge for cleaning by the hour or by the job?

Homes are usually priced by the job, based on bedrooms, bathrooms and the type of clean. Offices are often priced by square foot or per visit. Hourly works when the scope is hard to predict, ideally with a minimum number of hours.

Should the first cleaning cost more?

Yes, that is common in the trade, because the first visit is always a deep clean. Price it as an initial clean, then show the recurring price as a separate estimate. Clients understand it.

How do I raise prices for a recurring client?

Give written notice ahead of time and send a new professional estimate with the new price. A formal document makes the change feel like business, not personal.
