Plumbing Estimate: What to Include, Common Mistakes, and How to Write One From Your Phone

A lot of plumbing calls are emergencies. When water is running across the kitchen floor, the customer is not shopping around for a week. They call a few plumbers and hire the first one who gives them a clear price in writing. Being able to send a professional plumbing estimate right away is money in your pocket.

A good plumbing estimate separates the service call, the labor and the parts, and it says what happens if you open the wall and find something else. That last line is what keeps you from working for free.

Plumbers rarely lose a job for being too expensive. They lose it for being too slow. A great plumber who takes a day to send the estimate watches the job go to the one who answered first with something that looked serious.

What to include in a plumbing estimate

• Service call or diagnostic fee. If you charge for the visit and credit it toward the repair when the customer hires you, write that down.
• Labor. By the hour or as a flat rate for the job. After hours and emergency work should have its own rate, listed clearly.
• Parts and materials. Pipe, fittings, valves, supply lines, the water heater or fixture. Name the brand when it matters, because customers notice.
• Access and demolition. Opening a wall, a floor or a slab to reach the pipe, and who repairs the drywall, tile or concrete afterward.
• Permits and code work. Water heater swaps, gas lines and repipes often need a permit in many areas. List the permit and inspection as their own line.
• Testing and warranty. Pressure test or leak test, and how long you stand behind the repair, in writing.
• Hidden conditions. One clear line: "Any additional work found will be quoted separately and approved before it is done."
• Haul away and payment terms. Disposal of the old water heater or fixtures is a line, not a gift. Emergency calls are often paid when the work is done; bigger projects get a deposit.

Plumbing estimate mistakes that cost you money

• Giving a firm price over the phone without seeing the problem. The "tiny leak" never is.
• Not separating parts from labor. When the customer sees one big number, they haggle over the whole thing.
• Forgetting the hidden conditions clause. In plumbing, what is behind the wall is the rule, not the exception.
• Leaving out the drywall or tile repair. If you are not patching the wall you opened, say so. Otherwise the customer will expect it.
